movements. Works closely with Meeting Planners and sponsors on providing
related group travel services. Provides superior customer service
through the maintenance and communication of travel related information.
Scope
Books group air reservations and meeting registration
Essential Duties and Responsibilities Include
Books group and meeting reservations for air travel, hotel and
car rentals, following up when necessary to complete the reservation.
Negotiates and manages group air contracts.
Creates and maintains rooming lists and arrival and departure
lists.
Creates and maintains meeting registration logs.
Provides reports to close out meetings and evaluate services.
Provide support services to Meeting & Events Planner.
Utilizes block air space to minimize customer liability.
Responds to requests for price quotations utilizing automated
system(s) for domestic and international itineraries.
Promotes the acceptance of fares, rates, and suppliers that
match the client's travel program policies and negotiated contracts.
Applies discount programs appropriately.
Moves market share for BCD Travel preferred suppliers.
Maintains and promotes professional and courteous client
relations by managing a prompt and accurate response to telephone and
email communications.
Remains informed of all airline rules and regulations and
current affairs. Communicates information to clients accurately and
appropriately.
Achieves individual and contractual service level goals related
to telephone, quality, and productivity.
Maintains client profiles, ensuring specials requests and
reward program information such as frequent flyer / driver / hotel stay
are included.
May build airline reservation system profiles for use with a
specific group of travelers.
Monitors, sorts and works global distribution systems (GDS)
queues daily to maintain quality control.
Ensures optimum customer service through effective use of phone
systems and positive telephone service techniques.
Knows and properly uses: airline terminology, codes, fare
basis, airline rules and tariffs, resource guides, books, and industry
contacts.
Provides air analysis research.
Assumes and performs other duties and responsibilities not
specifically outlined herein, but which are logically and properly
inherent to the position.
Transferable Skills (Competencies)
Knowledge of group air fares, ticketing, arrival-departure
lists, and basic group arrangement techniques.
Good customer service skills
Capability of maintaining a favorable company image when
interfacing with outside sources.

Qualifications
0-4+ years group or corporate experience, 2 years desired.
Graduate of an accredited travel school desired if no
experience
Proficiency on specified GDS.
Knowledge of ticketing procedures for airline, hotel and car
rental systems.
Demonstrated internet research skills for customer information.
Proficiency in Microsoft Office Software.
Demonstrated professional customer service skills.
Ability to work nights and weekends when needed.

Growing non-profit association in Bethesda seeks organized, accurate and
detail-oriented Meeting Coordinator to facilitate small meetings for the
group. Position is primarily local travel in the DC area with some
limited travel in the US. Candidate would handle all logistics for 20 –
30 “mini” meetings each year in addition to assistance with other
meeting projects.
Job Requirements
The successful candidate will work with the professional staff to
coordinate grant, contract, committee and board meetings throughout the
year. Candidate must be extremely organized, self sufficient, able to
multi-task and work under pressure. Customer service skills should be
exceptional. Must have at least 3 -5 years of small meeting coordinator
experience and be proficient in Microsoft Office Suite. Candidates with
experience in iMIS database and/or web conferencing are desirable.
The position is full time and is located in Bethesda, MD. Excellent

The American Veterinary Medical Association, a national not-for-profit
association established in 1863 and representing over 78,000
veterinarians nationwide, is seeking a Director for our Convention and
Meeting Planning Division located in our Schaumburg, IL office.
Reporting to the Executive Vice President, this key position is
responsible for directing the meeting planning activities of the
Association, and the overall planning and coordination of the AVMA's
premier event – the AVMA Annual Convention – including budget, site
selection, continuing education offerings, sponsorship and logistics.
The Director will work closely with AVMA staff, board members,
committees, & councils; and also functions as staff support to assigned
councils, committees and task forces. The Director of Convention and
Meeting Planning is responsible for the overall planning, coordination,
and supervision of the staff of the Convention and Meeting Planning
Division to ensure that operations and activities are in line with the
objectives set by the AVMA Executive Vice President and the Executive
Board to maximize effectiveness for the Association and its members.
The qualified candidate will have a BS/BA degree in Business or a
related discipline, CMP designation highly desirable; with 5+ years of
management level experience in convention/meeting planning,
not-for-profit national association experience preferred. Must possess
a demonstrated ability to strategically plan and coordinate all phases
of the convention and meeting function within a national association.
Excellent written & verbal communication skills are required; creativity
and strong proactive project management skills are a must. Must have
strong computer skills and be able to travel on behalf of the
Association as needed.
