3. Events Registration Specialist; Chief Executives Organization (CEO); Bethesda, MD
Events Registration Specialist
Description: Simultaneously manage and administer the registration processes for up to 10-15 international and domestic, world-class events. Duties include handling the automated registration process, interfacing with the accounting department, and database maintenance.
Data management begins with entering event and registration details into the database and continues with the coordination and reconciling of arrival/departure information, rooming needs and special requirements with hotels and other vendors. Additional responsibilities include creating a variety of event reports and documents, responding to specific inquiries of staff and members, preparing correspondence with members, hotels and other vendors, and filing and maintaining extremely organized and accurate event files.
Duties include but are not limited to:
• Serve as the “front lines” for any event-related questions coming from our members via telephone and email • Maintain detailed, organized, and current event files including all member correspondence for each registrant for each event Input and update event records • Manage hotel correspondence including member rooming changes and rooming list reviews • Generate and send correspondence including member registration confirmations, credit card payment forms, and member event registrant information forms • Assemble on site registration materials (i.e. nametags and registration packets) • Report to the Events Registration Manager
EXPERIENCE AND REQUIREMENTS
• Registrar experience is preferred
• Proficiency in Microsoft Word, Excel, and Outlook, and database experience • Excellent phone and customer service skills are crucial • Candidate needs to be extremely detail-oriented, dependable, self-motivated, a strong communicator, flexible, a team player, and able to meet quick deadlines
