• Strategize, plan, promote and implement multiple

timelines

• Experience in fundraising is a plus

• Proven ability to handle changing priorities and be proactive.

• Thorough understanding of the Washington, D.C./Baltimore

Metropolitan market nuances.

• Demonstrated ability to work well with others in both team and

independent environments.

• Willingness to travel.

The professional in the position of Events Coordinator must be able to complete a variety of assigned duties to support the business office functions as well as Association and Event clients. This position will oversee and coordinate the main business office activity, be flexible, work closely with the Seamless team in project coordination as needed, anticipate project needs, be proactive with team requests and client needs, be available to work onsite at events, and be able to meet deadlines with little supervision.

The number of events or projects this position will support is dependent on client obligations; this professional should have a passion for event and coordination management, provide outstanding customer service, be an enthusiastic professional, stay positive through the stress, maintain high productivity, and be able to build relationships with current clients as well as potential clients.

Event Planning

 Work hand-in-hand with one of the the few larger Seamless Clients to ensure all event logistics from start to finish are organized and executed flawlessly.

o Coordinate the pre-event logistics from venue booking, confirming catering, finalize giveaways, organize speakers and the like.

o Coordinate the post-event logistics from obtaining leftover materials, final registration lists, evaluations and the like.

 Research potential speakers for client events and track and maintain the list internally.

 Manage the potential venue tracker for the business, including making onsite visits and establishing relationships with venues as needed.

 Research opportunities for Seamless to gain more exposure in the community.

 Assist with negotiations for venue and vendor contracts.

 Research and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor to meet the quality expectations within contracts.

 Propose new processes to improve the event planning and implementation process.

 Establish vendor relationships and serve as liaison with vendors on event-related matters.

 Assist with managing onsite production and clean up for events as necessary.

 Prepare nametags, materials, packages, gift bags, registration lists, seating cards, etc.

 Assist the Events and Associations Managers with research projects, coordination of new ideas to brand the company and be available to support/execute new marketing initiatives.

Qualifications:

 Excellent communication skills, including writing, proofreading skills, and speaking.

 Ability to manage multiple projects and work assignments from the Seamless team.

 Capable of staying extremely productive from your work-at-home environment.

 Excellent interpersonal skills both in person and by phone, with high professionalism.

 Ability to accomplish projects with little supervision.

 Fantastic customer service ethic and the ability to provide exceptional service and meet high quality expectations.

 Bachelor’s degree preferred; significant work experience can substitute for the degree.

 Willing to jump into a variety of event support needs as client requests do change.

 Capacity to show experience in organization skills and coordinating projects.

 Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.

References

 One (1) reference is required in addition to an in-person interview by the President of the company and 2 other team members.

Teleflex Incorporated is seeking a Tradeshow and Events Planner with 5-7 years experience.

Responsible for planning, implementing and overall management for regional and national tradeshows, events and meetings to support assigned business unit(s). Acts as the show/event/meeting Subject Matter Expert and is an integral part of the marketing and communications teams, and his/her projects are developed as part of the overall marketing plan for that business unit. Serves as the on-site liaison for his/her shows and events. Coordinates logistics, meals, hotel arrangements, room-sets, and travel schedules.

– Consult with internal stakeholders to determine objectives, requirements, scope and format for events and shows.

– Make recommendations for timely adjustments to plans based on changes in marketing objectives.

– Evaluate and select providers of services according to customer requirements. Execute contract and vendor negotiations.

– Maintain records of event aspects, including financial details. Review and reconcile invoices, and approve for payment. Monitor budgets to ensure spending does not exceed estimates.

– Plan, monitor and communicate programs, budgets, services, timelines and agendas. Review administrative procedures and event progress.

– Coordinate services, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, audio-visual equipment, printing, security, etc. Organize registration of event participants.

– Coordinate administrative details such as financial operations, dissemination of promotional materials, and responses to inquiries.

– Encourage development of metrics. Conduct post-event evaluations and recommend improvements.

– Monitor event activities in order to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.

– Assist with other shows/meetings/events as directed.

– Confirm product/market positioning, brand, and major messages are accurately represented in all materials, including Clinical Education.

– Adhere to and ensure the compliance of the Teleflex Code of Ethics, all Company policies, rules, procedures and housekeeping standards.

– Keep abreast of meeting management standards and trends.

Job Requirements

– Four-year degree from an accredited institution with emphasis in marketing, public relations, communications, business, and hotel or hospitality management is desired. Equivalent employment experience may also be considered, depending on strength/complexity of background and knowledge.

– Minimum 5+ years of employment experience in tradeshow or event planning. Trade Show Marketer Certification (CTSM) is strongly preferred or must demonstrate enrollment in program or be willing to enroll in program.

– Medical device industry knowledge preferred.

SPECIALIZED SKILLS

– Advanced proficiency in Microsoft Office suite (Word, Excel, and

PowerPoint) is required.

– Must have excellent written and verbal communications skills and interpersonal skills. Demonstrate experience in translating goals/objectives of multiple business units to the show floor or event and be able to influence stakeholders' decisions to achieve objectives.

– Must have proven track record to coordinate multiple projects effectively and efficiently. The successful candidate will be very detail-oriented with excellent organizational skills, and will be able to multi-task, meet tight deadlines, and maintain composure under pressure in a fast-paced environment.

– Quantitative and analytic skills are needed to formulate and follow budgets and to understand and negotiate contracts.
